Big Dog Farm Stay is a family-run dog boarding experience at Johns River, NSW. We can be reached at bigdogfarmstay@outlook.com. When you use our website or submit a booking enquiry, you are trusting us with your personal information and we take that responsibility seriously.
2. What information we collect
To book your dog's stay, we collect your name, phone number, email address, and emergency contact details. We also collect information about your dog — breed, socialisation style, training, health, allergies, current treatment, vet details, and insurance status — so we can care for them safely and responsibly. If you choose home pick up, we ask for your address and any gate or parking instructions. You may also upload your dog's vaccination certificate.
3. How we use your information
We use your information to confirm your booking, coordinate arrival and departure, care for your dog during their stay, and keep you informed. We may email or call you about your booking, vaccination reminders, arrival instructions, or follow-up after your stay. We do not take card payments online — deposits and balances are paid by bank transfer against an invoice we send you, so we never handle or store card details.
4. How we store and protect your data
Your booking details and uploaded documents are stored in our secure database and file storage, protected by industry-standard encryption and access controls. Only Kim and Tim, and anyone they explicitly authorise to help run the farm, can access this information. We keep records for as long as they are needed for bookings, follow-up care, and legal or insurance purposes.
5. Sharing your information
We do not sell your information. We only share it when necessary to provide the service you have requested — for example, with a veterinarian in an emergency if you cannot be reached. We may share anonymised photos on our social media only if you have agreed, or if your dog is clearly in the background of a general farm highlight.
6. Cookies and analytics
Our website does not use third-party advertising cookies. We may use basic analytics to understand how visitors use the site so we can improve it. These tools do not identify you personally.
7. Your rights
You can ask to see, update, or delete the personal information we hold about you at any time. Just email us at bigdogfarmstay@outlook.com. We will respond within a reasonable timeframe and handle your request in line with Australian privacy principles.
8. Changes to this policy
We may update this policy from time to time as our services grow. The latest version will always be published here, and significant changes will be communicated clearly when you book.
